Basic Policy
Our basic philosophy is providing reliable products and services. In addition, we have legal and social responsibilities in protecting personal information of our customers and other stakeholders that we hold.
Therefore, all of our executives and employees will comply with the Act on the Protection of Personal Information, other relevant laws and regulations, this privacy policy and our internal rules, and will handle appropriately personal information that we hold, and will strive to prevent leakage, loss or damage of personal information and take corrective measures. In addition, in order to ensure the smooth operation of this policy, we will appoint a personal information management officer (Compliance Officer) and take appropriate measures for secure management, such as the establishment of internal rules, planned education and training for employees, and periodic checks and evaluations of compliance with this policy, and we will continue to improve that.
Acquisition of personal information
We will acquire personal information, which is subject to the Act on the Protection of Personal Information as information that can identify the specific individual, such as the customer’s name, gender, age, telephone number, address, only by proper means, in the following cases.
- Cases in which the customer contracts with us regarding our products and services
- Cases in which the customer responds to questionnaires and other surveys from us
- Cases in which the customer contacts us by phone, email or other means of communication
- Cases in which the history is left in security systems, such as the facility’s access control and surveillance cameras
- Cases in which we acquire personal information by other means permitted by laws and regulations (including the cases in which we acquire personal information from sources that are already public, such as Town Pages)
Handling of personal information
When we use the customer’s personal information, we will use it appropriately mainly for our real estate business and providing related products and services, and within the scope of the following purposes, except in cases where we have obtained the customer’s consent in advance or where the handling of personal information is permitted as an exception by laws and regulations.
- For the management of the contractual relationship (including but not limited to billing for fees, etc.)
- For the exercise of our rights or the performance of our obligations under the contract relating to the provision of our products and services
- For the research on market trends and our customers’ requests
- To ask for feedback from our customers in surveys and other ways
- For safety management of our operating facilities
- To inform our customers of information about the products and services we provide, subject to the approval of our president (including but not limited to sending direct mailings)
- For the improvement of our services
We may share personal information, such as the customer’s name, gender, age, telephone number, address, etc., with our affiliates (including but not limited to our shareholders). The means of acquiring personal information to be shared are as described above in "Acquisition of personal information" and the purposes of use are as described above in "Handling of personal information". Our personal information management officer (Compliance Officer) has the responsibility for the management of personal information to be shared.
We may retain and use the customer’s personal information even after the contract with the customer is terminated. In this case, we will continue to handle personal information in accordance with this policy.
We will not provide personal information to any third party without the customer’s consent, except in the following cases, such as the cases otherwise provided for by laws and regulations.
- Cases in which we should cooperate with an investigation by a state agency or local government
- Cases in which we outsource some of the research on customers and market, debt collection and other service operations under our appropriate supervision to a contractor with whom we have signed a "Confidentiality Agreement". However, in such cases, we will still use personal information within the scope of the above purposes of use.
- Cases in which we need to share personal information with the other party with whom we have signed a "Confidentiality Agreement" to carry out an investigation required by the other party in reorganization or merger, etc.
